Director of Administration (The Operations Engine)

Organization: Shepherd's Heart

Location: On-site (Where the action is!)

Position Type: Full-Time

Reports To: Executive Director

Direct Reports: Administrative Assistant, Maintenance Supervisor

Position Summary

We don't do at Shepherd's Heart. We are on a mission to radically serve our veterans and our community, and we need an operational powerhouse to make that happen. The Director of Administration isn't just a paper-pusher; you are the operational engine of this organization. You will relentlessly drive excellence across our human resources, facilities, and business processes. Your job is to slay bureaucracy, empower our frontline staff, and build a culture where our people and our mission can thrive without friction.

Key Responsibilities

Champion Our People (Human Resources)

  • Hire for Attitude, Train for Skill: Own the entire employee lifecycle. Bring in people who are fired up about our mission, and build an onboarding experience that wows them from day one.
  • Cultivate Excellence: Manage performance not as a compliance exercise, but as a tool for radical growth. Coach, challenge, and develop our staff.
  • Protect the Culture: Be the fierce guardian of our faith-based values. Handle benefits, payroll, and employee relations with absolute integrity, grace, and legal precision.

Lead with Boldness (Team Supervision)

  • Empower, Don't Micromanage: Lead the Administrative Assistant and Maintenance Supervisor. Give them the tools they need, clear the roadblocks out of their way, and grow them into leaders.

Bias for Action (Operational Strategy)

  • Destroy Red Tape: If a process is slow, broken, or doesn't serve the mission—fix it today. We need systems that propel us forward, not rules that hold us back.
  • Align and Execute: Work side-by-side with department heads. Ensure every administrative action directly supports the overarching strategic vision of Shepherd's Heart.

Radical Stewardship (Financial & Resource Management)

  • Fund the Frontline: Treat every dollar like it's a direct investment in a veteran's life. Develop and manage budgets with analytical rigor and an eagle eye for cost-effective innovation.

Create a WOW! Environment (Facilities & Systems)

  • Dignity in the Details: Oversee our facilities so that the moment staff, volunteers, or veterans walk through our doors, the environment screams dignity, safety, and respect. Fix it before it breaks.
  • Demand Vendor Excellence: Negotiate contracts fiercely and hold our vendors to the same high standards we hold ourselves.
  • Ironclad Compliance: Manage our recordkeeping and information systems. Keep us strictly compliant so leadership can sleep soundly at night.

Qualifications & Core Competencies

  • Experience: Proven, battle-tested experience in administrative leadership, HR, and operations. You know how to run a tight ship.
  • HR Mastery: You know the ins and outs of payroll, benefits, and employment law—and you execute them flawlessly.
  • Analytical & Decisive: You don't just admire a problem; you analyze it logically and deploy a solution immediately.
  • People-Obsessed: You have a track record of building, coaching, and inspiring teams. You communicate with clarity, empathy, and power.
  • Mission-Driven: A deep, uncompromising commitment to the faith-based mission of Shepherd's Heart. You view operational excellence as an act of stewardship.

The Reality: Compensation

  • Salary: $60,000-$70,000 (commensurate with your ability to deliver groundbreaking results).
  • Location: On-site at the heart of our mission in Uptown, near Duquesne University.
